## Overview

---

![image](media://9d5c0bbd-847b-4111-bf4b-4a316ccd92a9)

Steps to Care was designed to allow your church to care for the physical, emotional, mental and spiritual needs of your church body. You can truly be the hands and feet of Jesus by coming alongside people in your church as they go through life.

Care Needs are entered, assigned to Care Workers and the Care Dashboard helps you track everything. The Care Dashboard gives your Care Workers an easy way to see what is assigned to them and to record their interactions with the Care Recipient. Care Needs are automatically flagged for follow up by a Rock job, but can also be manually flagged so that someone can reach out to them after the initial need has been cared for. It's all very customizable to allow it to fit into your church's culture.

## Configuration

---

### Care Configuration Page

Clicking the gear in the upper right corner of the Care Dashboard will get to you the Care Configuration Page.

### Care Workers

Care Workers are the people assigned to reach out for this care need. They can be auto assigned based on category, campus or geofence. You can also manually assign care workers to a care need. People do not need to be an assigned Care Worker to do a Care Touch but the assigned people are the ones that will be notified.

In addition to the Care Workers created here, you have the option to auto assign workers from a group type and role. For instance, if you wanted the requestor's serving team leader or small group leader to be assigned to their care need. The settings for group type and role are found in the Care Entry block settings.

## Scenarios

---

Following is an example of how to use the Steps to Care Dashboard.

Betty called the church today and let us know that her husband Barney was admitted to the hospital last night for chest pains.  We want to make sure that the staff and church members who know Betty and Barney know about this and are able to keep up to date with any new information regarding this situation.  In order to do that, we are going to create a new Care Need.

![Care_Need_Entry_Edit_20250528.png](media://c3b591ea-89b0-48bc-802a-92f4ec98b412)

| | |
| --- | --- |
| [1] | The date and time that the Care Need was created. You can change the date based on your preferences. The default is today's date and time. You can also schedule future needs by entering them in advance. They will not be assigned until the threshold number of days specified in the job. |
| [2] | The person who created the Care Need. This is a person picker field. The default is the current person. |
| [3] | Option to note the campus that the requestor attends or the campus the need came from. (This will affect how the need is assigned, if you leave it empty and select a person that has a campus this field will be filled out to match.) |
| [4] | The status of the request, “Open” chosen by default for new entries. |
| [5] | The requestor is the person who has a Care Need. You can choose a person who already has a Rock profile or you can enter their information if they don't have a profile. (Depending on your block settings whether you wish to “Allow New Person Entry” or not.) |
| [6] | Select the worker assigned to this Care Need. |
| [7] | If "Include Family" is checked, individual care needs will be created for each family member and be assigned appropriately. |
| [8] | Workers Only can be toggled to allow only and only people with Care Workers permissions on the block security will be able to be assigned. |
| [9] | Select “View History” to see the previous information and details submitted for this Care Need. |
| [10] | Any Care Notes submitted for this Care Need will be listed here. |

Finally, save the new Care Need. (Note: You need to select a person or enter a First Name, Last Name, Email and/or Phone number to proceed.)

![image](media://7503e768-41a1-47d5-8ed1-a1414cdee307)

Now, Ted the Connections Pastor has been assigned any care needs with the hospitalization/surgery category selected.  In the following screen, you can see ways that Ted can notate how he has cared for Barney.

| | |
| --- | --- |
| [1] | Choose Notification Type: This button allows you to choose how to receive Steps to Care notifications. Your choices are None, Email, SMS, and Email & SMS. Make sure to push Save after you select your choice. **Note:** If your organization decides they don't want "None" as a choice you can delete that option in General Settings>Person Attributes>Steps to Care Notification. |
| [2] | You will notice that Barney's category color is red which is associated with the category need of Hospitalization/Surgery. This is based on the initial care need entry and which care category was selected. |
| [3] | Barney's name is hyperlinked so you can click on it and it will take you to his profile in Rock. |
| [4] | Specific details of Barney’s Care Need are listed so the type of care can be easily administered. |
| [5] | The date shown is when the need was initiated. |
| [6] | Campus associated with the care need requestor. |
| [7] | This shows the number of care touches for this care need. Care touches are calculated based on any note (unique or quick) that are added to the care need. |
| [8] | This shows who has been assigned the care need. |
| [9] | Quick Care Note Touches:<br>[1] Called<br>[2] Text Message Sent<br>[3] Mail Sent<br>[4] Gift Given<br>[5] Meeting |
| [10] | You will notice that if Ted wants to write a longer note associated with Barney's care need, he can select "Care Note." |
| [11] | In the actions field, there are a few options to choose from:<br>[1] Complete: Select this if the care need is no longer applicable.<br>[1A] Re-open: On the “Care Follow Up” grid you can choose to move it from the follow up section back into “Open” status by choosing this action. This will also dismiss the notification and update the date entered on the need to today’s date, so that follow up will occur as configured again.<br>[1b] Snooze: Each Care Need has the ability to “snooze” follow up based on the custom follow up settings specified. Use this feature to check in on someone in long-term care every 30 days or schedule your follow up for a future date.<br>[2] Launch Workflow<br>[3] Add Prayer Request<br>[4] Add Benevolence Request<br>[5] Add Connection Request<br>[6] View History |

Barney will be in the hospital for a while recuperating and Betty has let the church know she needs helps with some yard work.  Thankfully, the church has a Church Needs Connections category that Barney and his family can added to for just this purpose.  Below, are the steps to begin this process.

![CareNeedConnectionRequest_Oct2024.png](media://0352c36f-46a3-4cff-a40d-e09152944359)

| | |
| --- | --- |
| [1] | Select the "Actions" button |
| [2] | Add Connection Request |

Now you will see a new block pop up showing the different Connections you can select.  **Note: ** You can filter what connection types are visible in this block on the Care Dashboard block settings.  You can select as many connection opportunities as the situation fits. Also, you will see that the original details from the initial care need are added to the comments section.  You can edit or add more notes as you see fit.  Then, you can select "Save" to complete the Connection Request.

![image](media://bf734d27-d417-4e16-8dd2-cbc3cebdb989)

Finally, you will see a new block that confirms the success of the Connection Request.

![image](media://0246fa69-bb2f-464f-ab27-0be2cfe8a26d)

A few days later, Betty called Ted about Barney's progress and mentioned that she is struggling with some anxiety about how she is going to deal with Barney's continued health needs.  Ted let her know that he will add her to the prayer list, but also will be sending her some resources to help her with her anxiety in the meantime.  We have created a workflow that can easily be sent in situations like this.  This workflow can be launched from the action menu on the Care Dashboard.

On the screen about you will choose the Launch Workflow action from the menu.

On this block, you will find and select the workflow you would like launched.

![ScenarioUpdatedActionList_Oct2024.png](media://d4750159-1246-4f7f-8687-1d9d02031b38)

![image](media://7c44007c-291c-4831-b487-cab5d5fb2f43)

This screen shows that that the workflow was successfully launched for the care need noted above. ** **You can also launch another workflow from this screen.  **Note:  **You can choose which workflows are launched on the workflow launch block settings.

![image](media://1fc7853a-3a67-42ef-ab38-b453e2720d5f)

In the scenario below, there was a new baby born into the Kopf household.  When this care need was entered, the Include Family box was toggled.  As you can see, this has added a + icon before the name of the primary person in need of care.

![image](media://f634cc8f-6c4f-41ee-8de6-308da80b02b9)

You can click on the +, and it will show the family members associated with Zach.

![image](media://8a8ed070-333b-4d93-b829-1fd1ec03f844)

As you can see, Gabby has different details by her name.  You can click on the line that contains her name and change the need details for each person, including the category need and description of need.  You can also change the assigned worker for each family member.

### Features and notes when entering a Care Need

| | |
| --- | --- |
| [1] | You will notice this is a screenshot of a “Pending” Care Need, which in reality means it has not been saved yet. |
| [2] | Did you know that Care Need’s can have attributes attached to them via Entity Attributes? This is not a standard field. |
| [3] | This attribute in particular is even narrowed down to only show when “Hospital/Surgery” category is selected using an entity qualifier. |
| [4] | Custom Follow Up is a new capability to be able to edit follow up time even after the need has been entered. |
| [5] | As this is a pending Care Need if you enable “Preview Assigned People” once you select a Person and a Category the “Assign Workers” section will display. Populated by the anticipated people being assigned. You may add additional workers and/or people to this need before even hitting save. |
| [6] | The “Follow Up Worker” column represents the primary/first worker assigned to this care need via the auto assign (load balanced) capability or if you clear all of the workers assigned the first worker you add back to the assignment. |
| [7] | The new Type column helps you understand *why* a person was assigned to this need, whether auto assigned as the worker (the count of needs assigned to that worker in parentheses), the Group Type and Role, Geofence assignment or manually added. |

### Editing a Care Need

![image-20240313-214951.png](media://b8e42b13-90a3-4049-9741-f5dba3b159ad)

| | |
| --- | --- |
| [1] | Each Care Need has the ability to “snooze” follow up based on the custom follow up settings specified. Use this feature to check in on someone in long-term care every 30 days or schedule your follow up for a future date. |
| [2] | You can add/edit/delete people assigned to the need at any time. |
| [3] | Notes can be added to a Care Need display under the “Make a Note” action and on the Care Detail page. Security permissions will need to be adjusted on the Care Need note type under System Settings > Note Types. Anyone adding notes to a Care Need will need to have Edit permissions on the Care Need Note Type. |

### Make Note Dialog

![NoteDialog.png](media://f63a5a2d-af51-4281-93c5-1c5c6e25a4ca)

| | |
| --- | --- |
| [1] | Date the Care Need was entered. |
| [2] | Name of the Requestor. |
| [3] | Category of the Care Need. |
| [4] | Status of the Care Need. |
| [5] | Status of Care Touches/Care Touch Templates,<br>1. Yellow = Warning, X Touches needed by Y Date
2. Red = Danger, Overdue, X of Y Touches overdue since Z Date
3. Green = Success, X touches were made.
4. Example: On a "Birth" need, you may have it setup to have a minimum of 1 "Called" Care Touch to be made within 84 hours and 2 calls within 208 hours (3.5 days and 8.5 days, respectively). |
| [6] | Clicking each of these buttons will create a Quick Note listing the type of Touch that was administered within the Note Dialog.<br>1. These are the same Quick Notes from the dashboard, but you can add additional information to the note prior to saving it. If you set the "Quick Note Auto Save" setting to No it will open this dialog with this note pre-selected and clicking "Save Note" will add it to the dialog.
2. Choosing "Other" will save any other note unassociated to a note template to this Care Need. |
| [7] | This Note Dialog will display any notes already added or actions performed on this Care Need and by whom. |
